How ORA works: from floor plan to confirmed stand
We set up your event, exhibitors book and pay on a live floor plan, and the follow-up runs itself. Here is what happens at each step.
Step 1: We set up your event
You send us your floor plan, stand types, packages, prices and deadlines. We turn them into a booking portal with your branding, ready for you to review. Most events are live within two weeks of agreement.
- Floor plan: every stand, with its number, size in m², open sides and price.
- Packages: for example, space only or a shell scheme with walls, carpet, fascia sign, lighting and power.
- Rules: which packages suit which stands, such as no shell scheme on island stands.
- Payment terms: deposit or full payment, card or tax invoice, and when balances fall due.
- Deadlines: fascia sign names, shell scheme orders, final payment and bump-in.
Step 2: Exhibitors book on a live floor plan
You send exhibitors one link instead of a PDF manual and forms. They:
- Pick an available stand on the live floor plan, and see its size, open sides and price.
- Choose a package that suits the stand.
- Enter their company details, ABN, product category and fascia sign name, all checked as they type.
- Pay a deposit or in full by card, or ask for a tax invoice to pay by EFT.
The stand is held while they book, so nobody else can take it. Once they confirm, it shows as booked for everyone straight away.
Step 3: Everything else is automated
Once a stand is booked, ORA handles the follow-up your team would otherwise chase by email and phone:
- A booking confirmation and tax invoice, sent the moment a stand is booked.
- Balance-due reminders before each payment deadline.
- Unpaid invoice follow-ups every 7 days until paid.
- Fascia sign checks and the bump-in schedule sent to every exhibitor.
Your team sees it all in the organiser view: floor space sold, revenue, paid and outstanding balances, and a searchable list of every booking. More on payments, invoicing and reminders.
Questions
What do you need from us to set up?
Your floor plan (a PDF or drawing is fine), the stand types and sizes, packages and prices, any add-ons, your deadlines, and your logo and colours. We build the portal and send it to you to check.
Do exhibitors need to create an account?
Exhibitors enter their company details once while booking. They don't have to download anything or fill in a separate form.
Can we still take bookings by phone?
Yes. Your team can make a booking on an exhibitor's behalf so the floor plan stays the single source of truth.
What happens if two people try to book the same stand?
A stand is held while an exhibitor completes their booking, so it can't be sold twice. Holds release automatically if the booking isn't finished.
Make your next event the easiest one yet.
