How the calculation works
The calculator multiplies three numbers: exhibitors per event × admin minutes per exhibitor × your team's hourly cost. The defaults (120 exhibitors, 45 minutes each, A$55 an hour) come to 90 hours, or A$4,950, for one event.
What counts as admin time per exhibitor
- Sending the prospectus, manual and booking form, and answering questions about them.
- Checking which stands are free, replying with options and holding a stand.
- Re-typing the booking form into a spreadsheet and updating the floor plan.
- Raising the invoice, matching the payment and chasing overdue balances.
- Collecting fascia sign names, shell scheme orders and other details before the deadline.
- Handling stand changes and cancellations.
Most organisers we speak to estimate 30–60 minutes per exhibitor once every email and phone call is counted. The figure doesn't include the cost of mistakes found onsite, such as a double-booked stand, a misspelt fascia sign or a missing power point.
